Three different kinds of evidence
A material declaration describes a material or component within a defined scope. Equipment instructions describe permitted operating and cleaning methods. Site validation establishes whether the actual installed cleaning process meets the site’s acceptance criteria. None of these documents automatically replaces the others.
Build the evidence matrix
For each product-contact component, identify the material evidence required by the quality team. Separately identify the equipment instructions governing the intended cleaning method. Finally, record the site protocol that will demonstrate the required cleaning result.
This structure exposes gaps that a general “hygienic pump” description can hide. For example, a document covering one elastomer does not demonstrate that every product-contact component has been reviewed.
| Evidence layer | Question answered | Does not establish alone |
|---|---|---|
| Material document | What component/material is covered? | Installed cleaning effectiveness |
| Equipment instructions | What method does this configuration support? | Site validation outcome |
| Site validation | Did the installed process meet its criteria? | Suitability after every future change |
Define the installed cleaning boundary
Include hoses, fittings, valves and any branch that remains connected during cleaning. Describe where cleaning solution enters, where it exits and how the endpoint will be assessed. When manual disassembly is part of the approved procedure, identify which components leave that boundary.
Do not assume that an equipment material statement proves clean-in-place suitability. The actual configuration and cleaning procedure require their own review. Likewise, no universal rinse time or acceptance threshold is supplied by this article.
Review changes that affect the evidence
A different seal compound, a modified hose route or a new cleaning agent can change the basis of the original review. Record the change and let the responsible quality and engineering team determine which evidence needs renewal.
At handover, the useful deliverable is an evidence index with document scope, revision and owner. This enables the next reviewer to see what was demonstrated and what remains a site responsibility, rather than relying on a broad label attached to the pump.
