Authenticity, identity and condition are separate
An undamaged part can still be the wrong item. A correctly described item can arrive damaged. A familiar-looking label does not independently establish its supply chain. Treat these as three checks, with separate evidence and a clear disposition for any unresolved result.
Link the receipt to the purchase record
Record the approved manufacturer and part number, received quantity, supplier and delivery reference. Capture available batch or lot markings before the packaging is separated from the components. When a shipment is split into several storage bins, preserve the relationship to the original receipt.
The resulting trail should let the maintenance team trace an issued component back to the accepted delivery. It should not depend on someone remembering which box was opened last.
| Check | Evidence | Example reason to hold |
|---|---|---|
| Supply chain | Agreed sourcing documents | Unresolved origin |
| Identity | Order and part/lot references | Conflicting part number |
| Condition | Receiving inspection | Visible damage or contamination |
Investigate discrepancies without inventing authentication rules
A different label layout or packaging appearance is a reason to clarify, not proof of a counterfeit. Conversely, matching colors and logos are not proof of authenticity. Request supporting supply documents or manufacturer clarification when the evidence is insufficient.
ARO’s parts guidance warns that look-alike components may lack verified properties. That supports a documentation-led review; it does not create a universal visual test that a buyer can apply to every brand.
Use controlled receiving outcomes
Accept only against the agreed checks. Place unresolved items on hold with a reason, responsible person and required evidence. Keep quarantined quantities out of usable-stock figures. If goods are rejected or returned, retain the reference so the stock balance and purchasing record remain consistent.
For illustration, an intact package with a conflicting part number should remain on hold even if the component resembles the installed one. This is an identity discrepancy, not a diagnosis of fraud. Precise language helps the supplier resolve the issue efficiently.
